Timesheets

Open Timesheets to review who’s working and the hours recorded through the time clock. On the clock covers current shifts; Timesheets covers a date range and each person’s shift history.

Hours include open shifts up to the current minute. REV23 does not calculate wages, mark hours paid, or lock hours after export. Your payroll provider calculates and pays wages from the hours you send it.

Use Clock someone in to start a shift for another person when they cannot use the studio device. You can also clock someone out here. A manager’s clock-out ends the shift now and needs review before you use the hours for payroll.

The studio filter selects the shifts you review. Long-running shifts and clock-outs needing review remain available for correction on Timesheets.

Choose Timesheets, set the start and end dates, and select a person if needed. A range can cover 1–93 days, including both dates. Each person’s hours are grouped into seven-day blocks beginning on your selected start date.

For overtime reporting, choose the first day of your payroll provider’s workweek. A partial final block may omit hours that later cross an overtime threshold. There is no separate saved workweek-start setting.

If you filter to one studio, the shift list narrows to that studio while the totals still count work at every studio. Open shifts contribute their hours so far. Removed entries retain history but do not contribute hours.

Use Add entry for missing time. For an existing shift, open its menu and select Edit or Remove. Record the clock-in, clock-out, and an optional Reason. Times are local to the shift’s studio.

Entries for the same person cannot overlap, even across studios. One shift can end at the moment the next begins. When editing a currently open shift, leave clock-out blank to keep it open. New entries through Add entry require both times; use Clock someone in for a new open shift.

Every manual change keeps its history, including who changed it and when. Show removed includes removed entries for review; removal does not erase the record.

You cannot add, edit, remove, or review your own entries through these management actions, even as the owner. Ask another manager to correct them. Your own forgotten clock-out recovery is the limited exception for ending a shift after its reminder.

Clock-outs made by a manager, reported after a forgotten-shift reminder, closed while starting at another studio, or closed when the Time clock feature is turned off need review. A shift left open for at least 12 hours also needs checking.

Check the time with the person who worked the shift. Correct it with Edit, or select Looks right when the recorded clock-out is accurate. Either action becomes part of the entry’s history.

Configure Overtime rules under Settings → Cloud → Studios → Time clock for each studio:

SettingDefault
Weekly overtime after40 hours in each seven-day block.
Daily overtime afterNo daily rule.
Daily double time afterNo double time.

Leaving a field blank uses its default. Double time cannot start before daily overtime.

Hours across every studio count toward the daily and weekly thresholds. Each hour follows the rules of the studio where it was worked. Overnight shifts split at that studio’s local midnight. Daily overtime and double time are classified first; weekly overtime applies to the remaining regular hours, so a minute is counted once.

Hours only skips the overtime split for the current report. It does not change the studio’s saved rules. Rule changes affect classification when you run the report again, including earlier dates.

Open the menu on Timesheets:

  • Export timesheets (CSV) exports one row per person, studio, and seven-day block, with regular, overtime, and double-time hours as decimal hours.
  • Export entries (CSV) exports individual shifts with studio-local clock-in and clock-out times, hours, the clock name or Manual, and the note.

Removed entries are excluded from both exports. An open entry has no clock-out and includes hours so far; finish checking entries before sending the file to your payroll provider.

Time Clock → Manage covers timesheets and other people’s entries and is included in the Manager role; changing the overtime rules requires Payroll → Manage. See Roles & Permissions.
