Set Up an Artist for Online Booking

An artist becomes bookable online only when their account, services, booking setup, and schedule all agree. Choosing a booking mode on each skill is the per-service switch: there is no separate artist-wide Accept online bookings setting.

The full chain is:

Active user → skill → artist seat → studio assignment → booking mode → appointment timing → available hours

The Cloud’s public booking page must also be on. Follow the steps below for a new artist or use the checklist to find a missing piece in an existing setup.

Under Settings → Cloud → Features, turn on Booking. This adds the booking settings, schedules, calendar, and the artist’s booking controls.

If this is the first artist you’re configuring, you can leave the public page off until step 6. If the page is already live, an artist or service becomes public as soon as its remaining setup is complete.

Open Settings → Team & Access → Team Members, then create the user or select an existing one. On Artist setup → Services & booking:

  1. Select Add services and choose the categories or individual services the artist performs.
  2. Assign an Artist seat. Skills without a seat stay on the account, but the person cannot perform services or appear in online booking.

A category skill covers every service in that category, including services added later. If the artist performs only part of a category, use All except… or Specific services only when setting their skill coverage.

For a multi-studio Cloud, check Artist setup → Studios too. No studio assignments means the artist works at every location. Once you assign any studios, they appear only at those locations.

Still under Services & booking, open the Booking setting for a skill. Choose one mode:

Anything except Not bookable online gives that skill an online path. A category skill applies its mode to every service it covers. Use individual service coverage when services in the same category need different modes.

Request to book and Book without review need enough timing information to make calendar slots. Set one of these:

  • Appointment length on the artist’s skill.
  • An appointment length on the service type’s booking defaults, which the artist inherits.
  • Time-based price tiers with durations, such as Half Day · 3 hr.

A directly bookable service with no fixed length or time tier stays off the public menu because REV23 cannot place it on the calendar. Custom work with no predictable length usually fits Consultation first instead.

The rest of the skill’s booking fields are optional overrides: repeat-service time, maximum quantity, time between appointments, slot increment, deposit, minimum notice, and how far ahead customers can book. Leave one blank to use the broader default described in How availability is computed.

4. Set consultation and artist-wide defaults

At the top of Services & booking, open Consultations & scheduling. These settings apply to the artist rather than one service:

  • Takes consultations must be on, either here or in the studio default, for Consultation first to work.
  • Consultation length sets the calendar time reserved for a consultation.
  • Auto-approve consultations decides whether a consultation is approved immediately or waits Pending.
  • Minimum notice and Book up to apply to consultations and to skills without their own booking-window values.
  • Auto-approve deposit bookings decides whether payment approves a deposit booking after any required service review has happened.
  • Show prices online controls prices on this artist’s public booking pages.
  • Each different service adds controls the time added when a customer combines distinct services in one appointment.

The artist can set the same per-skill booking modes and consultation defaults for themselves from Me → My Skills.

Open Settings → Booking → Schedules and select the artist, or have the artist use Me → My Schedule.

  • With no personal hours, the artist inherits the studio’s hours.
  • Once the artist has their own regular weekly hours, omitted days are days off. They no longer fall back to studio hours one day at a time.
  • Personal hours normally narrow studio hours. Allow bookings outside studio hours under Settings → Booking → Booking Settings lets personal hours extend beyond them; a posted studio closure still applies.
  • A schedule window with Bookable for set only accepts the selected service categories and/or consultations. A consultation-only window will not offer regular services, and a service-only window will not offer consultations.

Under Settings → Booking → Booking Settings, turn on Online booking and save. The Cloud-wide page is https://<your-studio>.rev23.com/book.

For a multi-studio setup, also confirm that each service is offered at the artist’s location. Hiding a service at a studio removes it from that location’s public booking menu even when the artist’s skill is bookable.

Use Share booking link from the calendar or Bookings page and choose the artist. The artist can also open their permanent Booking link from My Schedule. Test the link in a private browser window so your staff sign-in does not affect the customer flow.

Confirm that:

  • The intended services or consultation option are present.
  • The expected dates and times are available.
  • A Request to book finishes as a request awaiting approval.
  • A Book without review appointment follows the expected deposit and approval path.
  • Prices appear or stay hidden as intended.

Check these in order:

  1. Booking is on under Settings → Cloud → Features.
  2. Online booking is on under Settings → Booking → Booking Settings.
  3. The user is active and has an Artist seat.
  4. The artist has a skill covering the service.
  5. The skill uses Consultation first, Request to book, or Book without review.
  6. A directly bookable service has an appointment length or time-based tier.
  7. Takes consultations is on when the skill uses Consultation first.
  8. The artist is assigned to the location, or has no studio assignments.
  9. The service is offered at that location.

If the artist and service appear but no times do, check studio hours, the artist’s own hours, Bookable for limits, time off, minimum notice, the booking horizon, existing appointments and buffers, then booking rules.

Setting up another person’s skills, seat, and studio assignments takes Users → Manage. Global booking settings and schedules take Booking Settings → Manage. A provider’s skills grant access to their own My Skills and My Schedule, where they manage their own booking settings and hours. See Roles & Permissions.
