Web Sign

Web Sign lets customers complete release forms on their own phone, tablet, or computer. It uses the same templates and signing flow as Kiosk without requiring the REV23 app.

Your studio’s general sign URL is:

https://<your-studio>.rev23.com/sign

Web Sign is controlled per template:

  1. Open Settings → Forms & Care → Release Form Templates.
  2. Open the template and select its Settings tab.
  3. Turn on Enable web signing.
  4. Turn on Allow guardian web signing if a guardian may complete their part from another device.
  5. Set a Redirect URL when the customer should go to a specific page after signing.
  6. Review the template’s Web start and finish messages, then save or activate the revision.

If no redirect URL is set, the finished form returns the customer to the studio website. If neither URL is available, the final Continue button is hidden.

The web start message appears before the customer begins the form on their own device. App and Web messages are separate so Kiosk instructions do not appear there. See Template messages.

Use the general link when the customer needs to choose their own service and provider:

  • Display the studio’s Sign in QR code for customers to scan.
  • Send the URL by text or email.
  • Add the URL to the studio website or appointment instructions.

The customer enters their birthdate, identifies themselves, and follows the customer signing flow. Web Sign does not use Kiosk inactivity timeouts.

A booking-specific sign link loads the expected customer, services, and provider after the customer confirms their identity.

  1. Select Begin visit from today’s dashboard or the booking detail. If an expected form has not been signed, Collect the form first opens.
  2. Choose an available delivery method:
    • Text them the link sends it to the phone number on the customer profile.
    • Email them the link sends it to the email address on the profile.
    • Sign on their phone with a QR code displays the booking link for the customer to scan. The QR code is open by default when the customer has no phone number or email address on file.
  3. Wait while the customer signs. Opening the link, the customer confirms their birthdate before the booking details open. After a link is sent, the dialog stays open and updates as soon as the signature arrives.
  4. When the dialog changes to Form signed, select Open visit. Choose the booked session from the visit picker, review the form, and start the session.

Sending from this dialog works even when the optional sign-your-form reminder is off. When the reminder is on, a manual send also prevents the same channel from sending the automatic reminder again.

If the text or email cannot be sent, REV23 gives the specific reason. Correct an invalid contact detail, add the customer’s birthdate, or use another available method. Text delivery is not supported in every phone region. A booking also needs at least one service whose mapped template allows web signing; use Kiosk when the form must be completed in the studio.

If the customer already came in and the visit exists, use Already came in? to connect the booking to that service instead of creating another one.

Begin without a form creates the service and sessions without the expected release form; it does not start the session timer. Signing is what creates a session with its form, so a session created this way can never gain one later. After a link is sent, the same choice remains available as Begin without the form anyway — wait for the customer to finish signing when possible.

When selected services use different templates, Web Sign shows a checklist of the required forms and the services each form covers. The customer enters shared profile information once, completes every available form, then selects Finish.

A form that cannot be completed through Web Sign remains on the checklist with instructions to finish it at the studio. The customer should not close the page until the available forms are complete and Finish has been selected.
