Jewelry on Sessions

Piercing and adornment sessions carry a Jewelry section: the record of what went into whom — piece, lot number, expiration date. That’s the clinical record, and it never depends on money. Whether the piece bills is your pricing model’s question.

Three ways in, fastest first:

  • Suggested — one-tap picks learned from your routine, per service type and artist. Your standard lobe setup comes up first after a few uses.
  • Search catalog — by name, SKU, or barcode, typed or scanned. With a Separate tier applied to the session, the picker filters to that tier’s pieces — one tap shows the whole catalog.
  • Build custom — describe the piece by its attributes. If what you’re describing already exists in the catalog, matching pieces surface so you can link the real SKU instead of minting a duplicate.

Each install carries its own details: description, Lot Number, Expiration Date (a past date warns — the supply may be expired), Quantity, and Price — what this visit bills for the piece, which is legitimately $0 under a bundled model.

An install freezes the piece as it was — name, attributes, SKU, retail price, unit cost, and its Baseline mark at that moment. Editing the catalog later never rewrites session history: unmark a piece next year and every past install still reads as it did. On an existing install you can edit the per-visit details (lot, expiration, quantity, price) but not the piece’s identity — Replace re-links the install to a different catalog piece instead.

A piece built freeform without Save to catalog stays a hidden one-off — recorded fully on the session, invisible to the catalog. The catalog’s Not in catalog tab collects them, grouped by their core attributes, with an install count each. Promote turns one into a real SKU: every past install re-links to the new piece and the recorded history stays exactly as it was.

You can skip the cleanup entirely: Save to catalog at record time (visible with Jewelry → Manage) creates the SKU on the spot. It asks the two money questions separately: the session’s price is what today’s visit bills, and Catalog retail is what the piece sells for on its own shelf — prefilled from the session price when that’s real money, or from the closest similar piece you stock. The same block takes unit cost (frozen into the install, because several states assess use tax on cost and it can’t be captured later), SKU, barcode, a tier tag, and the Baseline mark.

  • Covered — by an inclusive tier, or Baseline-marked on a service that includes baseline jewelry — the piece rings $0.00. See reading a $0 line.
  • Otherwise it bills the install’s price.
  • A piece recorded with no price and no coverage is a record, not a sale — the free downsize and the customer’s own jewelry both belong on the record with nothing charged.

Session jewelry rides the visit’s checkout automatically. While the sale is still unpaid, jewelry edits on the session don’t move the invoice until you push them — the session says so and offers to update it. Once the sale completes, the money facts lock with it: the install’s price, quantity, and catalog link refuse to change, a sold install can’t be removed, and money comes back by refund. Lot, expiration, and description stay editable — clinical corrections don’t rewrite a sale.
