Jewelry on Sessions

Record jewelry in the Jewelry section of a piercing or adornment session. Each entry records the piece, quantity, lot number, and expiration date. You can keep this record whether the jewelry is charged separately, included in the service, or supplied by the customer.

A post and a removable end need separate entries. For a lobe fitted with a titanium post and disc end, record both pieces, even when the piercing price includes both. A fixed piece with integral ends needs one entry. See the catalog’s designs and pieces and pricing models.

Recording a piece

Choose a source:

• Suggested offers catalog pieces and attribute combinations from previous use of the service type and artist.
• Search catalog finds pieces by name, SKU, or barcode, typed or scanned. Filter by attributes to find the variant you need. When a tier is applied, Show all removes the tier filter.
• Build custom records a piece from its attributes. If it matches a catalog piece, you can select that item instead of creating another.

For a threaded end, record its threading and fitted gauges. Choose its supplier’s listed gauge first, then any other gauges it fits. Threadless ends save no fitted gauges. Enter the installation’s description, Lot Number, Expiration Date, Quantity, and Price. A date in the past means the supply may be expired. Price is the amount for this visit; it can be $0 or blank when no charge is intended.

What the record keeps

An installation freezes the piece’s name, attributes, SKU, catalog retail price, unit cost, and Baseline mark at the time it is recorded. Later catalog edits, including moving an end, do not rewrite that record.

You can correct the installation’s lot, expiration, description, quantity, and price while its sale remains unpaid. Use Replace to choose a different catalog piece; editing the catalog itself does not replace the piece on an existing installation.

One-offs and promoting

A custom piece recorded without Save to catalog stays on the session without joining the catalog. Not in catalog collects these pieces, grouped by their attributes. Promote creates a catalog item and links the matching past installations to it; their frozen records remain unchanged.

To catalog a custom piece immediately, turn on Save to catalog while recording it. Keep the two prices separate:

• Price is what this installation charges today.
• Catalog retail is what the piece sells for on its own. It is prefilled from a positive installation price or a similar catalog piece when available.

You can also record unit cost, SKU, barcode, a tier tag, and the Baseline mark. The unit cost is captured in the installation record when the piece is added.

How installs bill

The catalog price supplies the starting price when you pick a piece. The amount charged then follows the session’s coverage:

• An inclusive tier covers every jewelry entry on the session.
• A service that includes baseline jewelry covers entries whose frozen piece record is marked Baseline.
• Covered entries bill $0. Otherwise, each entry bills its installation price multiplied by its quantity.

For example, with a $40 lobe fee, a $10 titanium post, and a $30 disc end, separate pricing totals $80. If the service includes baseline jewelry and both pieces are marked Baseline, the total is $40. Replacing only the disc with an unmarked $90 gold end makes the total $130: the post remains included and the gold end bills $90. See Jewelry Pricing for setup.

Jewelry joins the visit’s checkout. If you edit jewelry while a checkout is still unpaid, use Update checkout to apply the changes to that sale. Once the sale is completed, price, quantity, and the catalog link are locked, and sold jewelry cannot be removed. Lot, expiration, and description remain editable. Return money through a refund; refunding a jewelry line does not erase the installation record.

Permissions

Recording jewelry takes access to edit the session. Save to catalog and creating freeform attributes additionally take Jewelry → Manage. See Roles & Permissions.
