Booking Rule Recipes
Start at Settings → Booking → Booking Rules and choose New. For a preset recipe, select its name under Start from a template before making your changes. Review the recipe’s settings, then save with Create rule.
If you have multiple studios, select the Studio the policy applies to; All studios covers your whole Cloud. Leaving Artists empty covers every artist. These rules restrict customers booking online; you can still schedule from the calendar.
For rule actions, conditions, and permissions, see Booking Rules.
Offer only 10am and 1pm starts
Section titled “Offer only 10am and 1pm starts”Create two active rules at Settings → Booking → Booking Rules. Choose Only allow and select the same artist in both. To restrict only certain services, select those same services in both rules as well.
Under When it’s allowed → Time of day, enter:
| Rule name | From time | To time |
|---|---|---|
| 10am starts | 10:00 AM | 10:00 AM |
| 1pm starts | 1:00 PM | 1:00 PM |
Leave day and date conditions blank to apply on every working day, then save each rule with Create rule.
Matching From and To times mean that exact start time, in the studio’s timezone. Together, the rules permit 10am or 1pm and block other starts for the selected artist and services. A three-hour appointment can still run from 10am to 1pm or 1pm to 4pm.
The schedule and Slot increment must include those starts. For example, available hours beginning at 10am with a 30-minute increment include both. The full appointment must still fit the available hours, and existing bookings and notice requirements still apply. See How availability is computed.
Other Only allow rules covering the same bookings can permit additional times. Block rules always win.
Use Test rules with the same Artist and, if you restricted services, a matching Service. Check 10am and 1pm, plus a time such as 11am that should be blocked. Check the public booking page on an available day to confirm the offered starts.
Limit piercings for minors to certain times
Section titled “Limit piercings for minors to certain times”For example, accept piercing appointments for customers under 18 only on Saturdays, with starts from 10am through 1pm.
Choose Minor piercings — limited hours. The preset starts with all piercings, a maximum age of 17, and a daily 9am–noon window. Change it to:
| Setting | Value |
|---|---|
| This rule will… | Only allow |
| Service categories | Piercing |
| Maximum age | 17 |
| Day of week | Saturday |
| Time of day | 10:00 AM to 1:00 PM |
| Month, Day of month, From date, To date | Leave blank |
To apply this only to lobe piercings, remove Piercing from Service categories, then select your lobe services under Specific service types. Keeping the category selected includes every piercing service, even if you also select individual services.
To limit this rule to one artist, select them under Artists; leave it empty for everyone. Save with Create rule.
The rule restricts the selected piercings for under-18s to Saturday starts within that window. A 1pm start is included; the appointment can finish later. Adult bookings are outside this rule’s age range. The service’s age requirements and available hours still apply.
For the same hours on a second day, create another Only allow rule with the same artist, service, and age selections and that Day of week. The two days are alternatives. Other Only allow rules covering these bookings can also permit additional times.
In Test rules, select a covered Service, a matching Artist if needed, and Customer age: 17. Check Saturday at 11am and 1pm, then Saturday at 2pm and Friday at 11am. The first two match the allowed window; the latter two are blocked by this setup. Repeat with age 18 to confirm this rule no longer applies.
Require repeat no-shows to contact you
Section titled “Require repeat no-shows to contact you”Choose Block repeat no-shows to stop customers with two or more counted no-shows in the last 52 weeks from booking online.
Keep the preset’s values:
| Setting | Value |
|---|---|
| This rule will… | Block |
| Customer history with the studio | No-shows |
| At least | 2 |
| At most | Leave blank |
| Window (weeks) | 52 |
Leave day, date, and time conditions blank so the restriction applies whenever that customer tries to book. To apply it only to your calendar, select yourself under Artists. Review the customer message, then save with Create rule.
The rule applies at two counted no-shows; one does not meet the threshold. Forgiven no-shows do not count. History totals follow the customer across your Cloud, so selecting an artist limits which bookings the rule governs, not which artist’s past no-shows count.
Test rules cannot verify customer history. Check the customer’s booking history and reliability for counted no-shows in the chosen window.
Keep online booking open only to customers with completed work
Section titled “Keep online booking open only to customers with completed work”Choose Books closed to new customers and keep:
| Setting | Value |
|---|---|
| This rule will… | Block |
| Customer history with the studio | Completed work (services) |
| At most | 0 |
| At least | Leave blank |
| Window (weeks) | Leave blank for all time |
Leave day, date, and time conditions blank. Select yourself under Artists if the policy is only for your calendar, then save with Create rule.
A customer needs at least one completed service in your Cloud to fall outside this block. Creating a customer profile or booking a future appointment does not establish completed work. A completed walk-in service counts, as does completed work with another artist or at another studio in the same Cloud. This preset cannot distinguish customers who are new only to you.
Check the customer’s completed services to confirm whether they meet the policy. Test rules cannot verify their history. To reopen online booking to new customers later, turn off Active on this rule.
Make Friday the 13th tattoos walk-ins only
Section titled “Make Friday the 13th tattoos walk-ins only”Choose Friday the 13th walk-ins only and keep:
| Setting | Value |
|---|---|
| This rule will… | Block |
| Service categories | Tattoo |
| Day of week | Friday |
| Day of month | 13 |
Leave month, date, and time conditions blank to repeat on every Friday the 13th. Use Artists or Studio to limit the event to part of your Cloud. Save with Create rule.
Both calendar conditions must match: it must be a Friday and the 13th. This blocks online tattoo starts that day; piercing and consultation bookings are outside the preset’s scope. To use it for just one occurrence, set From date and To date to that Friday the 13th.
In Test rules, select a tattoo Service and a matching Artist if you selected one. Check a Friday the 13th, then a different Friday. Only the Friday the 13th matches this rule. Check a piercing service on the event date to confirm that it is outside the rule’s scope.
Close online booking for one event day
Section titled “Close online booking for one event day”Choose Closed for an event day, then set the date before saving:
| Setting | Value |
|---|---|
| This rule will… | Block |
| From date | Your event date |
| To date | The same event date |
| Day of week, Time of day, Month, Day of month | Leave blank |
If you have multiple studios, choose the event’s Studio. Leave artist, service, age, history, and length filters unset to cover every booking at that studio, including consultations. Save with Create rule.
The preset has no date filled in. Leaving both dates blank blocks every day; filling only From date blocks that date and later dates. Setting both to the same date limits the block to starts on that one day, in the studio’s timezone.
From the event’s studio, use Test rules to check the event date and the days immediately before and after it. Only the event date should match this rule.
