Ideas

Ideas let potential customers submit project requests directly to your studio. Instead of managing DMs, emails, and texts, you get a structured list of interested people with all the details you need to decide whether to take the project.

You can share this as a direct link or display the QR code from the Ideas page in the app. Post it on social media, include it in your bio, or text it directly to interested customers.

The submission page walks the customer through a short process:

1. Customer Lookup

The customer enters their name and email or phone number. If they are an existing customer, they verify with a one-time passcode (OTP) and their information is pre-filled. If they are new, a customer record is created automatically when the idea is submitted.

2. Idea Form

After identification, the customer fills out a single-page form with the following fields:

  • Provider — If you have multiple providers, the customer can optionally choose a specific artist. If only one provider is available, they are auto-selected.
  • Work Type (required) — New, Continuation, Touch Up, or Cover Up.
  • Service Category — Tattoo, Piercing, Permanent Makeup, Microblading, Removal, or Adornment.
  • New to this service? — Whether this is their first time getting this type of service.
  • Description (required) — What they have in mind (up to 2,000 characters).
  • Placement — Where on the body (e.g. forearm, shoulder, back).
  • Size — Approximate size (e.g. 4x6 inches, full sleeve, small).
  • Style — Desired style (e.g. traditional, realism, watercolor).
  • Color Preference — Quick-select options (Black & Gray, Color, Both, Not Sure) or custom entry.
  • Budget — Optional minimum and maximum range.
  • Reference Images — Up to 5 photos for inspiration. For cover-ups and continuations, the customer is prompted to include photos of existing work.
  • Availability (required) — Time of day (Mornings, Afternoons, Evenings) and days (Weekdays, Weekends), plus an optional text field for specifics (e.g. “available after 3pm on Wednesdays”).
  • Preferred Dates — Optional earliest and latest date range.

If you have multiple studios, the customer selects which location they are interested in.

3. Completion

After submitting, the customer sees a success screen with your studio’s social links. They can submit another idea while keeping their customer information pre-filled.

In the app, go to the Ideas list to see all submissions. Each idea card shows the customer name, assigned provider, interest level, status, description preview, work type, budget, placement, and availability at a glance.

You can filter the ideas list by:

  • Search — Search by customer name or description.
  • Studio — Filter to the current studio or all studios (multi-studio tenants).
  • Provider — Filter by assigned provider, or show unassigned ideas.
  • Status — New, Accepted, or Declined.
  • Not Contacted — Show only ideas where the customer has not been contacted.
  • Available Now — Show ideas whose availability matches the current time of day and day of the week.

Tapping an idea opens the full detail view with the customer’s information, submission details, and management tools.

Each idea has a three-part lifecycle displayed as a progress bar:

1. Decision

An idea starts with a status of New. You can:

  • Accept — Mark the idea as accepted.
  • Decline — Mark the idea as declined, with an optional reason. You can also choose to delete the idea instead, and if the customer has no service history, optionally delete the customer record as well.
  • Reopen — If previously declined, reopen the idea back to New.

2. Interest Level

Track how interested you are in the project with a temperature gauge:

  • Cold — Low interest.
  • Warm — Medium interest.
  • Hot — High interest.

The interest level is independent of the decision status — you can mark interest on new, accepted, or declined ideas.

3. Contact

Mark the idea as Contacted when you have reached out to the customer. This records a timestamp and the idea shows as contacted in the list.

Assign an idea to a specific provider, or leave it unassigned. You can change the assignment at any time.

The idea summary shows the customer’s description, work type, service category, placement, size, style, color preference, and reference images. All fields are editable by staff — you can update or correct details as you discuss the project with the customer.

  • Availability — The customer’s submitted availability preferences, editable by staff.
  • Budget & Estimates — The customer’s budget range, plus staff-editable fields for Estimated Price (min/max) and Estimated Sessions to record your own quotes.
  • Preferred Dates — The customer’s preferred date range.
  • Follow-up — Set a follow-up date and time to remind yourself to reach out.

Add internal notes to an idea for tracking conversations, decisions, or anything else. Notes are visible to staff only and can be edited or deleted.

When you have a no-show or cancellation and want to fill the slot quickly, check your ideas. Use the Available Now filter to find customers whose availability matches the current day and time of day.
