Daily Workflow

This page walks through a typical day using REV23 Cloud. How your day looks depends on two choices: whether you use Kiosk (iPad) or Web Sign (browser-based), and whether you are a solo artist or a multi-staff studio.

Before diving into the daily flow, decide how customers will fill out release forms. You can use one or both methods.

Kiosk (iPad) — A dedicated, passcode-protected mode in the REV23 iOS app. Customers fill out forms on a shared device in the studio. The iPad returns to the idle screen between customers. See Kiosk & Web Sign for setup details.

Web Sign (Browser) — Customers fill out forms on their own device by visiting your studio’s Web Sign link. Share it via text, email, or QR code. Customers can complete the form ahead of time or on the spot. See Web Sign for setup details.

Either method works on its own or you can use both. Both use the same templates and walk the customer through the same signing flow.

This is the typical flow when customers sign forms remotely before arriving.

  1. When a customer books an appointment, send them your Web Sign link: https://<your-studio>.rev23.com/sign. You can text it, email it, or include it in your booking confirmation.

  2. The customer fills out and signs the form on their own device, on their own time.

  3. When they submit the form, a service is created in REV23 and the customer appears in the Waiting Room on your Dashboard.

  1. Open the Dashboard and check the Waiting Room. The customer’s name, service type, and wait time are shown.

  2. Tap the customer to open their service, then select the session.

  3. Review the Safety Panel — flags, medical conditions, emergency contact, and any notes.

  4. Review the form — verify the ID scan, medical conditions, signatures, and any blocks flagged for provider review. Make sure nothing looks fake or incomplete. You can provide your signature during review.

  5. Tap Start Session and set the start time.

  6. Perform the service. Document supplies (ink, needles, jewelry, etc.) during or after — whatever fits your workflow.

  7. When finished, tap End Session and set the end time. This generates the final PDF and locks the session.

  8. REV23 prompts you with “What’s next?” — choose All done to mark the service complete, or There’s more to do if additional sessions remain (e.g. a multi-session tattoo or touch-up). See What’s Next below.

Check the Dashboard for:

  • Forms Needing Review — Any forms from today that haven’t been reviewed yet.
  • New Ideas — Project requests submitted through the Ideas page.
  • Birthdays — Customers with a birthday today.

This is the typical flow when customers sign forms in-studio on a shared iPad.

  1. Open the REV23 Cloud app on your iPad.

  2. Tap the main menu and select Kiosk. The Kiosk Setup wizard walks you through passcode, slideshow, and auto-lock settings. Your previous settings are remembered, so you can confirm and continue quickly.

  3. The iPad is now in Kiosk Mode, showing the idle screen with your studio logo and a Tap to Begin prompt.

  4. Place the iPad where customers can reach it — the front counter, a stand near the waiting area, etc.

  1. The customer taps the iPad screen and walks through the signing flow — birthdate, name, service selection, profile, ID scan, disclaimers, and signature.

  2. When the customer finishes, Kiosk returns to the idle screen. The customer appears in the Waiting Room on the Dashboard.

  3. Exit Kiosk Mode (tap the lock icon or swipe up, then enter your passcode) to access the main app, or check the Dashboard from another device.

  4. Tap the customer in the Waiting Room to open their service. Select the session.

  5. Review the Safety Panel and review the form — verify the ID scan, signatures, and any flagged responses.

  6. Tap Start Session and set the start time.

  7. Perform the service. Document supplies during or after.

  8. When finished, tap End Session and set the end time. The PDF is generated and the session is locked.

  9. REV23 prompts you with “What’s next?” — choose All done to mark the service complete, or There’s more to do if this is a multi-session project.

  10. Return the iPad to Kiosk Mode for the next customer.

Same as Web Sign — check the Dashboard for forms needing review, new ideas, and birthdays.

In studios with multiple providers, a few additional things happen:

  • Provider selection — During the signing flow, the customer selects which provider will perform their service (unless the step is hidden in the template, or there is only one eligible provider).
  • Unassigned services — If the customer selects “No Preference” or provider selection is hidden, the service appears in the Waiting Room without a provider. Any eligible user can tap Take it to claim the service.
  • Team Status — The Dashboard shows a Team Status widget with how many sessions each provider has today.

Managers and counter staff can monitor the Dashboard to keep things moving — assigning unassigned services, checking wait times, and making sure forms are reviewed. The web app works well on a desktop or monitor at the front desk, giving counter staff a live view of the Waiting Room, active sessions, and forms needing attention.

When a returning customer fills out a form (Kiosk or Web Sign), they verify their identity with a one-time passcode and their saved information is pre-filled. If they have incomplete services from a previous visit, they can continue an existing service instead of starting a new one. See Returning Customers for details.

After you end a session, REV23 shows a prompt asking what to do with the service:

  • All done — The work is finished. This opens the Complete Service dialog, which locks the service, ends any remaining in-progress sessions automatically, and prevents the customer from being asked about this service during future sign-ins. You can reopen it later if needed.
  • There’s more to do — This service has additional sessions. Takes you back to the service detail page where you can view all sessions. The next time the customer returns and signs a form, they will be offered the option to continue this service.

This prompt appears after every session ends, so you always have the option to wrap up or keep the project open.

There is no formal “close out” process in REV23. However, before you leave:

  • End any open sessions — Sessions that are still started should be ended so the PDF is generated. If a session is not ended within 7 days, a PDF is generated automatically, but it will not be emailed to the customer.
  • Complete finished services — If a service is truly done, mark it complete. The “What’s next?” prompt after ending a session makes this easy. Piercings are typically one-and-done and should be completed right away unless the customer plans to return for a jewelry downsize or follow-up. Single-session tattoos should be completed as well. For multi-session work like a back piece, microblading series, or permanent makeup touch-up cycle, leave the service open until the full project is finished — the customer will be offered the option to continue it on their next visit.
  • Review forms — Check the Dashboard for any forms that still need review. This is optional but recommended so provider signatures are included on the final document.
